Sales Report Overview
Back to topThe Sales Report lets you access financial and sales data from several preset views. Each view provides data on gross sales, net sales, total sales, discounts, item/product quantity, and more from different perspectives.
There are seven different Sales Report types: Sales by Day, Booking Item/Product, Booking, Customer, Staff Member, Category, Item/Product, and Booking Fee.
Each can then be filtered by date source, date, the Staff member who made the booking, booking category, or item/product.
In the following article, we start with how to use the filtering features to target more specific results. In addition, we look at how to configure the visibility of columns and export reports. All this, using the item/product report as an example. We then look at each type of report in detail.

Report Filtering
Back to topAs mentioned above, each report can be filtered to produce specific, targeted results. In addition to date source, you can filter your results by date, the Staff member who made the booking, the item or product category, or by a specific item/product.
Filtering by date source
Back to topDate Source allows you to filter the data shown by the date the booking was Created, the date the booking Starts, or the date the booking Ends.

Back to topThe Date filter allows you to choose a preset period. In the example below, we have chosen to display the date for bookings Created within the Last 30 days.
The Date filter preset options provided are All, Today, Yesterday, Last Week, Last 7 days, Last Month, All - past, Tomorrow, This Week, This Month, Next 7 days, Next 30 days, and All - upcoming.
You can report on a select date or date range by choosing the Custom option. This opens a date selector from which you can select a specific date or date range.
Please note, if a date is not included in the report, there were no bookings on that day.
Filtering by Staff
Back to topTo filter results by a Staff member, click the Staff button and select from the drop-down menu. The results display all bookings made by that Staff member during the chosen date range.
Have a long list of Staff and Partners? Quickly and easily find the person you want to filter for by entering their name into the keyword Search... at the top of the drop-down.

Back to topTo filter results by item/product category, click the Category button and select from the drop-down menu. The results display all bookings that contain items or products from the chosen category.

Back to topTo filter results by item/product, click the Item ID/Product ID button and select from the drop-down menu. The results display all bookings that contain the selected item/product.
Avoid scrolling through a long list of items/products by entering their name into the keyword Search... at the top of the drop-down.

Back to topYou can configure your account to retain your filter selections within most reports and features so you don't have to select your preferred filters repeatedly.

Editing columns
Back to topEdit which Columns display via the icon at the top-right-hand side of the page.
Select which columns you want to show within the report.
As seen above, columns may also be re-arranged by dragging and dropping via the control (dot pattern) to each field's left.
Any taxes configured are listed and available to be added as columns. |
Reporting on guest numbers
Back to topYou can report on guest numbers within any of the Sales report views by adding quantity (#) and amount ($) columns for your item parameters/product guest types, e.g. Qty #, Qty $, Adult #, Adult $.
When a parameter/product guest type is added as a column(s), its contents show within each relevant report.
Exporting sales reports
Back to topYou can export your Sales Report using the link in the top right corner. You can enter a name for the report and choose the output format.
The Export window contains the following options:

Save As |
Specify the name of the export file. By default, the file name is the name of the report. You can edit the file name by focusing on the Save as field and entering a different name. |
Format |
Use ISO Dates allows you to choose the format of dates within the export.

Save To |
The report can be saved to your Computer, Email, or Google Drive. |
Columns |
Choose to export Visible or All Columns (if there are columns you have chosen to hide in the online report view). |
Max Rows |
Limit the maximum number of rows to export (Max Rows) or All Rows. |

Reporting on sales by day
Back to topThe Day Report shows the sales by day for the time frame selected.
The available data columns are as follows:
Value | Description |
Date |
Depending on which date source you have chosen, the date column in the report is either Created, Start, or End date. Start and End show Line Item dates instead of Booking dates. |
Item or Product Quantity |
The next column displays the quantity of items/products booked during the reporting period. This includes all items or products booked unless you use a report filter. |
Discounts |
Total of any discounts applied to the bookings for the date in question. |
Gross Sales |
The sum of product sales revenue generated, including the product rate and guest rate, but not including any discounts or exclusive or inclusive taxes. Inclusive taxes have been broken out. |
Net Sales |
Gross revenue, including any discounts and excluding taxes. |
Taxes |
Total tax applied to the bookings that day. Depending on your local tax requirements, there may be more than one tax column. |
Total |
Total amount received from the bookings that day, including applicable taxes and applied discounts. |
Number of Bookings |
The number of bookings for that day. |
Reporting on sales by booking
Back to topThe Booking Sales Report shows sales by invoice for those generated during the selected time frame.
The available data columns are as follows:

Booking Code |
Booking reference code. This is hyperlinked and can be clicked on to access the Booking Invoice. |
Status |
Shows the current status of the booking in question. |
Staff |
Name of the staff member who made the booking (hidden from view in the screenshot above). |
Date |
Depending on which date source you have chosen, the date column in the report is either Created, Start, or End date. |
Customer Name |
Name of the Customer that made the booking. The data in this field is hyperlinked, so you can click on it to access the Customer record. |
Item/Product Quantity |
The next column displays the quantity of the item/product booked. |
Discounts |
Total of any discounts that were applied to the booking. |
Gross Sales |
The sum of product sales revenue generated, including the product rate and guest rate, but not including any discounts or exclusive or inclusive taxes. Inclusive taxes have been broken out. |
Net Sales |
Gross revenue, including any discounts and excluding taxes. |
Taxes |
Total taxes applied to the booking. Depending on your local tax requirements, there may be more than one tax column. |
Total |
The total amount received from the booking includes applicable taxes and applied discounts. |
Paid Total |
Total amount paid towards the invoice balance. |
Balance Owing |
Balance owing on the invoice. This is the invoice total minus any payments that have already been applied. |
Start Date |
The start date of the Booking. |
End Date |
The end date of the booking. |
External Channel |
This shows the external booking channel from the MyAllocator integration, such as; Expedia, Air Bnb, Etc. |
The External Channels column only shows if bookings are made through the MyAllocator integration. |
Reporting on sales by booking item/product
Back to topThe Booking Item/Product Report shows sales by booking for the selected time frame on a per-item/product basis.
The available data columns are as follows:

Booking Code |
Booking reference code. This is hyperlinked and can be clicked on to access the Booking Invoice. |
Status |
Shows the current status of the booking in question. |
Item/Product Name |
Name of the item/product which has been booked. You can group items/products by clicking the column header, as shown in the image above. Clicking again reverses the display order. The data in this field is hyperlinked, so you can click on the name to edit the item/product. |
Item/Product SKU |
Unique ID code assigned to your item/product by the Checkfront system. |
Date |
Depending on which date source you have chosen, the date column in the report is either Created, Start, or End date. Start and End show Line Item dates instead of Booking dates. |

Back to topThe Customer Sales Report shows sales by Customer for those that have made a booking during the time frame selected.
The available data columns are as follows:

Name of the Customer that made the booking. The data in this field is hyperlinked, so you can click on it to access the Customer record. |
Customer Email |
The email address of the Customer who made the booking. |
Customer Phone |
The phone number, if supplied, of the Customer who made the booking. |
Item or Product Quantity |
The next column displays the quantity of the items/products booked by the Customer during the selected time frame. |
Discounts |
Total of any discounts that were applied to the Customer's bookings. |
Gross Sales |
The sum of product sales revenue generated, including the product rate and guest rate, but not including any discounts or exclusive or inclusive taxes. Inclusive taxes have been broken out. |
Net Sales |
Gross revenue, including any discounts and excluding taxes. |
Taxes |
Total taxes applied to the bookings. Depending on your local tax requirements, there may be more than one tax column. |
Total |
Total amount received from the bookings, including applicable taxes and applied discounts. |
Paid Total |
The total amount paid towards the invoice balances. |

The Staff Sales Report shows sales processed by Staff members during the selected time frame.
The available data columns are as follows:

The number of items/products booked by the Staff member during the selected time frame. |
Discounts |
Total of any discounts that were applied to the bookings. |
Gross Sales |
The sum of product sales revenue generated, including the product rate and guest rate, but not including any discounts or exclusive or inclusive taxes. Inclusive taxes have been broken out. |
Net Sales |
Gross revenue, including any discounts and excluding taxes. |
Taxes |

Back to topThe Category Sales Report shows sales by category for the selected time frame. If a category is not listed in the report, there were no bookings during that period.

Reporting on the Booking Fee
Back to topAre you on the Growth (By Booking) plan? If so, the related Booking Fee is displayed within the Sales report (Reports > Sales). This is the fee charged to Guests for Checkfront services. The above example shows the Booking Fee within the Sales Report by Day.
