Assign individual bookings to staff members
We'd like to assign individual bookings to the staff member that will guide that tour. As such, the guide would only see their own tours in their calendar, allowing them to sync it with iCal to keep track of their personal schedule. It would also help protect customer information for tours that are guided by someone else.

Hi Miranka!
It's great to hear from you. Welcome to the Checkfront Community. Thanks for your feedback! I’d love to learn a bit more about your business with a few extra questions. This will help us learn more about how you see this type of functionality working:- What role (person) on your team would normally assign the tours?
- What other tasks would this person need to do while assigning the tour?
- Would you want to give your guides limited access to Checkfront? If so, what other types of details would you want to allow/prevent them from seeing in the context of managing staff assignment?
- Any additional features that would be nice to have with respect to integrating your staff better with Checkfront?
Looking forward to learning more from you.
Thanks!Mike -
Hello, Mike. I see Miranka did not return, but I came across this thread while searching for answers to a similar question for a client.
The client runs boat tours. They have two different boats operated by different captains, but otherwise the bookings are the same — same price, same time slots, same name, etc.
They're looking for a way to (preferably automatically) assign each booking to a specific boat-captain combination.
Essentially, they have a "default" boat and captain and then an "overflow" boat and captain. The first tour booked for a given time slot should always be assigned to the default boat. Then, if another booking is made for the same time slot, it should be assigned to the overflow boat.
Ideally, this would happen automatically. Otherwise, with the least possible operator input. Basically, they want to their captains to be able to log into Checkfront and see their trips for the day at a glance, rather than having to call and text each other to divvy up trips.
Any thoughts on how that might be accomplished? I've experimented with groupings and aliasing without much success.
EDIT to add that they do not want customers to be able to choose a boat or even necessarily be aware that there are different boats.

I apologize for not getting back about this. What we'd like to accomplish is very similar to what Zack describes.
- What role (person) on your team would normally assign the tours? - That would be me (admin)
- What other tasks would this person need to do while assigning the tour? - All other admin duties
- Would you want to give your guides limited access to Checkfront? If so, what other types of details would you want to allow/prevent them from seeing in the context of managing staff assignment? - We'd like to allow our guide access only to the bookings she is going to guide herself (assigned to her by me, admin). Similar to what Zack describes above. We'd like her to see the status, price, notes, and all other information related to those bookings.
- Any additional features that would be nice to have with respect to integrating your staff better with Checkfront? - Mainly just that the bookings that are accessible to them are automatically synced through iCal.
As an additional feature, it would be amazing if "notes" could be visible in the booking information synced to the guide's calendar with iCal. We like to use notes to, for example, indicate if liability waivers have been signed in advance or not. -
Yes this is what we are looking for as well. Once a customer books a boat or a boat and an instructor we would like to allocate a specific boat and a specific instructor.
The customer shouldn't do this. We could then see on the booking or customer calendar which boat and instructor (by name) will be used for each booking.
thanks Julie

The V4 Beta allows for this functionality and we use this to achieve what you are describing above. V4 introduces the concept of Assets and these can be boats, guides etc. You setup your Assets in categories and then you can list your individual assets within these. When a booking is made the system will automatically allocate assets from the appropriate categories. If you want to assign specific Assets you can override this and do so. This works pretty well but seems to be still in the early stages of development so could still benefit from further enhancements. The visibility of allocated assets within the system being one example of where things could improve. Currently we are making a manual note on invoices if specific assets are allocated.

Today I thought to myself.. There's currently the functionality "Partner Attribution". Would it be possible to add the functionality "Staff Attribution" in a similar way? I'd imagine it would allow the specific staff member to then see only those bookings that are attributed to them, similar to how this currently happens for partners. Attributions would be assigned by Admin(s).

Also to complicate things we would have a booking that needs one of the resources for the whole booking but the other resource for only part of the booking. e.g. for a six-day learn to sail adventure - would need a specific named boat for all six days but an instructor for only three days.
