What is an asset? An asset is a key business resource that your activity relies on to supply experiences to your Guests, such as equipment, vehicles, or rooms. The distribution of this resource ultimately determines the availability of the product you are offering. |
|
Learn more about products and assets For a detailed look at configuring assets and products, check out the following articles: |
Accessing the assets panel
- Go to Booking > Daily Manifest.
- Click the +Assign button.
- Find the Daily Summary at the top of the side panel that opens.
At the top of the panel, you can find a daily summary of the:
- Date of the activity
- Applicable flex-time or timeslot (where applicable)
- Name of the product
- Number of bookings for the product
- Number of Guests
- Total sales you've received for the product (e.g., tour, activity, rental, accommodation)
|
What is an activity? An activity is a product session, for example:
The Daily Manifest shows all bookings for the day by activity. |
Understanding private vs public (shared) assets
Depending on your asset configuration, the assets displayed are private to the booking (e.g., a kayak rental) or shared by the public across multiple bookings (e.g., a public tour bus).
The system assigns private assets by quantity, whereas it assigns public assets by capacity. Public assets are also referred to as shared assets, as bookings for the same or different products can share them.

Understanding asset holds and assignment
Asset holds
When someone makes a booking, the system checks the number of bookings against the number of available assets and generally reserves (places on hold) assets in the background.
|
More about asset holds (or soft-assignment) The system automatically reserves assets by default. You can see that the system has reserved assets as the system displays a gray check mark (✓) next to the asset category. There is also a drop-down menu that prompts you to Select Assets for assignment. This feature is sometimes called soft assignment. |
Asset automatic or manual assignment
Your Staff can then assign the specific assets manually or automatically via the Daily Manifest.
- The Assign all option automatically allocates assets in the order they were created (not necessarily as they are listed). This feature saves time and effort when no unique needs are satisfied during resource assignment, e.g., all your life jackets are one-size-fits-all.
- Manual assignment requires you or your Staff to select resources to book. This option is helpful if you think it's important to give more consideration to assigning assets (e.g., the Guest needs a small life jacket).
Assigning private resources to bookings manually
You can manually assign private resources to a product booking, such as a single kayak for a Kayak Rental booking. Follow these steps:
- Go to Booking > Daily Manifest.
- Click the + Assign button to open the side panel for the chosen activity, e.g., 0:900 AM - 10:00 AM Kayak Rental.
- Under the Booking ID, select the assets from each drop-down menu, e.g., Single_Kayal_01 from the Kayaks category menu. The system then automatically updates the quantity of assets assigned and displays a green check mark (✓) next to your selection. This checkmark indicates that you have successfully assigned the asset.
- Repeat for every booking listed for that activity, e.g., you may have more than one Kayak Rental booked for the same timeslot.
- Click the Save button to commit your choices.
Assigning shared assets to bookings manually
You can manually assign shared assets to a product booking, for example, a seat on the Party Bus for a Night Bus Tour.
- Go to Booking > Daily Manifest.
- Click the +Assign button to open the side panel for the chosen activity, e.g., All Day Night Bus Tour.
- Under the Booking ID, select the assets from each drop-down menu, e.g., Party Bus_1 from the Buses category menu. The system then automatically updates the quantity of assets assigned and displays a green check mark (✓) next to your selection. This checkmark indicates that you have successfully assigned the asset.
- Repeat for every booking listed for that activity, e.g., you may have more than one Night Bus Tour booking for the same timeslot.
- Click the Save button to commit your choices.
Understanding availability from the daily manifest with shared assets
The system displays the total available and consumed capacity for that shared asset next to the asset name. For example, two guests have been assigned seats on the 8-seat shuttle bus for the Night Bus Tour, displayed as (8/2).
Understanding how assets are shared with other activities
To provide you with better context when assigning shared assets, you can view what other bookings share the asset, including the following information:
- Format: (Number of assets assigned to booking/total number spaces) [Booking No.] - [Product Name] | [Allocation]
- Example: (2/20) PCQD-080426 - Scenic Bus Tour | All day 06/10/26
For shared booking information to appear here, the following conditions must all be met:
- Two capacity-based products must exist that share the same asset
- You must have turned on Asset sharing for both products
- Both products must have active bookings
- Both products must have assignments
This information helps you avoid conflicts and optimize asset utilization.

Frequently asked questions
What does it signify if the asset assignment shows gray checkmarks instead of green?
- A gray checkmark (✓) indicates that the system has reserved (or soft-assigned) assets to ensure there is no overbooking.
- Learn more above under Understanding asset holds and assignment.
- A green checkmark (✓) indicates that the system has assigned specific assets to the booking.
- Learn more above under Understanding asset holds and assignment.
Why assign inventory even when it's already reserved?
- Specific attributes: If your inventory has variations (e.g., sizes), assigning ensures the right items are allocated to the right booking.
- Insurance purposes: If you need a record of exactly which items are assigned, manual assignment provides that paper trail.
-
Generic inventory: Even with generic stock, assigning can help maintain accurate tracking across bookings.
Operators should make assigning inventory a regular part of their Staff's workflow, as the Daily Manifest is used to manage activities, bookings, and guests.
Why am I seeing the error message, 'Sorry, this assignment could not be saved because not enough resources are available'?
- The system can display this error message when you try to assign assets to a historical booking.
