Updating and synching data with Zoho CRM

Learn how to update and synch Zoho CRM integration data, as well as common issues and solutions with synching.

Data collected during booking creation is synced with the contact/lead in Zoho.

Checkfront's integration with Zoho makes updating that information a seamless process. If you change the booking in Checkfront, the data is immediately updated in Zoho CRM.

 

Bell Please note this is a one-way sync. Editing the data in Zoho does not update Checkfront.


Next, we look at a booking and see how the information you enter in Checkfront translates to the contact/lead in Zoho.  

 

Zoho No City

Above is the information provided to Checkfront during the booking process.

As you can see, the Customer has provided most of the details asked for but has yet to specify their City in the address field provided.

 

Zoho No Mailing City

Above is what you see in your Zoho account.  

 

Zoho City Entered

Not to worry, though. All you need to do is pull up the invoice in Checkfront and edit the address to include the City.  

 

Zoho City Synced

After clicking Update, the invoice reflects the change, and the record in Zoho is updated immediately to include the city, too!  

We may add further integrations with Zoho in the future.  

 

Configuration

When syncing a custom booking form field to Zoho, you are connected using the field ID; however, this field ID is capitalized, and underscores are replaced with whitespaces when sent (test_id => Test Id). 

To ensure the fields map correctly, please ensure your equivalent field in Zoho has the same API name, including capitalization. You can check the API name in Zoho under Settings > APIs > API Names.

Editing these names may cause other integrations to sync incorrectly, as they may have been mapped to the original title. In that case, consider splitting the field in Zoho, or renaming the field in your other extension, if possible.

Zoho limits the number of API requests you can make on a given day based on your plan. A new booking from Checkfront can use up to three API calls.

Please ensure the Zoho plan you are subscribed to is in-line with the number of bookings you expect daily

Common Issues & Solutions

Listed here are common errors or situations you may come across when using Zoho CRM:

Bell
  • Unable to populate data, please check if mandatory value is entered correctly.

    This error appears when trying to sync a salutation (such as hi, Hello, greetings, etc.) to Zoho instead of a name.

    The sync expects first name and last name as a single field, using the system customer_name field ID in Checkfront, not the salutation.

    As such, the first and last names need to be unified on the Checkfront side, and the salutation must be manually added on the Zoho side.

  • Authentication has failed.

    This error can happen if you have 2-factor authentication enabled in Zoho. In this case, you can follow these steps to generate an app-specific password to use for authentication when entering your integration credentials:
    1. Log in to Zoho CRM.
    2. Open https://accounts.zoho.com.
    3. On the Zoho Accounts home page, select Security from the left-side menu.
    4. Within the Security menu, click on App Passwords.
    5. Choose Generate New Password, and in the Application Specific Passwords pop-up, do the following:
      a. Enter Checkfront (or whatever you prefer) as the device or app name.
      b. Enter your current password.
      c. Click Generate. You receive the new application-specific password with spaces.

  • Not Synced with Zoho. Email Address Required.

    This error occurs if the email field has not been filled out on the Customer's booking form. An email is required for Checkfront to sync the booking with Zoho. Double-check the booking to make sure a valid email has been provided.
