Advanced Guest Form Field settings give you powerful control over when and for whom specific guest fields appear.
You can use these settings to:
- Show or hide fields based on guest type.
- Limit fields to specific products or items.
This feature ensures guests see a clean, personalized booking form while your staff collects the correct data for operations and reporting.

Accessing advanced field settings
You can find advanced settings in the Advanced tab of any Guest Form field:
- Go to Manage > Integrations > Guest Management > Guest Form.
- Edit an existing field or click Add Field.
- Open the Advanced tab to view guest type and product/item options.
Configuring advanced field settings
The Advanced tab houses settings that determine whether the field is specific for selecting guest types or items/products.
Making form fields guest type specific
The Guest Type Specific switch turns on the option to select the parameters to which the guest field applies. The options listed depend on how you have set up your guest types.
- For example, you may wish to ask a question of your Adult Guests, which doesn't apply to Children. In such a scenario, you would turn on the Guest Type Specific switch to reveal your list of linked parameters and then check the Adults checkbox, leaving Children checkbox unchecked.
If many parameters are listed, you can quickly update your fields by clicking Select All or Select None.

Identifying guest type specific fields
The system labels Guest-type specific fields as Guest Type Specific in the Booking Manager. The screenshot above illustrates this.
Making guest form fields product/item specific
With the Product/Item Specific switch, you can select specific categories and/or individual products/items to which the field you are creating/editing should be applied.
- For instance, if you are an accommodation provider, you may ask your Guests about staying in a particular type of room.
By selecting the room(s) after activating the switch, you ensure that the system only shows this question to Guests who are part of a booking for those products/items.
The field you have configured now only appears during checkout when the Customer adds an item/product to a booking.
Identifying item/product specific fields
The screenshot's Item/Product-specific label, as illustrated above, identifies product/item-specific fields in your Booking Manager.

Applying the field to specific products/items If you turn off the product/item-specific switch, the system assumes you wish it to apply all products/items to the Guest field you are creating/editing. So, if you only wish to apply the field to specific products/items, you must activate the switch and select the appropriate products/items from the options provided. Leaving the switch turned off does not mean that the field is inactive. |
