Recording payments
- When viewing the Booking invoice, you can see an overview of the items reserved, including the total and the balance due. Directly below this is a Payments button. Tap on this to continue.
- On the Payments screen, you see a list of transactions already applied to the invoice (highlighted in yellow) and the current balance due on the booking. Below are two buttons: Take Payment (1) and Record Payment (2).
The process behind each button is described below.
|
Take Payment button Please note that the Take Payment button only displays if the Square Payment Provider is active in your Checkfront Booking Manager. |
Take Payment
The Take Payment process lets you process a live credit card transaction in the Square mobile booking app, which you must also have installed on your device.
Please review our knowledge base article on Square payments to learn more about this process.
- Tap the Take Payment button to get started.
- Enter a note in the field provided to attach to the booking
- To show the note on the invoice, tap the Show Note on Invoice switch to turn it on.
- The balance due is automatically entered in the Amount field, which you can change to any value you wish.
- When ready, tap the Pay (Amount Due) On Credit button below to continue with the Square payment. You are now redirected to the Square app on your device.
- Select the Credit Card option, and on the next screen, either enter the card details manually or swipe the card if you are set up to do that. Follow the rest of the process in Square, and when you return to the Checkfront app, you can see the payment recorded on the booking's Payment screen.
- Tap on the recorded payment to open the Payment Details screen. From here, you can issue a refund via Square if you wish.
The refund is then added to the payments screen in the Checkfront app, and you can view it in the Square app.
Record Payment button
The Record Payment process is slightly different than the Take Payment process because it lets you record a payment that has already been taken outside the app, such as a POS cash transaction.
- Tap the Record Payment button to get started.
- Enter the payment value you wish to record.
- Choose a payment type from the dropdown menu
- Hit the Record button.
You can then see the Payments screen again, and the transaction you just entered is added to the list. As in the image above, the blue payment buttons are greyed out if no balance is due on the invoice.
Current payment methods include:
- Square - Live Credit Card Payments
- POS - Cash
- POS - Visa
- POS - Mastercard
- POS - AMEX
- POS - Credit
- POS - Debit
- POS - Voucher
- Cheque
