Editing simple product availability from the inventory calendar

Edit availability for simple inventory items directly in the calendar, making quick, day-by-day adjustments without leaving the Calendar.

Learn how to open the inventory calendar's side panel to edit inventory availability when using products configured as simple inventory.

Where can I find this feature using the top menu?

  • Calendar > Product > Inventory Calendar > Click on any cell to access the side panel > Inventory tab
     

What more do I need to use this feature?

  • Admin or restricted permissions to View calendars, Change Daily Inventory Availability
  • Inventory (products) configured with an inventory type of Simple. Learn more here.
     

Which Checkfront version supports this feature - Classic Items, Classic Products, or both?

  • Your account must have access to classic products (Inventory > Products), a key feature of Checkfront's Classic Products version. This feature is not available for use with classic items (Inventory > Items) in our Classic Items version. → Learn more about products.

Inventory booked per day or per night 

You can access more information and edit options for each per Day or per Night interval by clicking any cell with booked or available inventory in your calendar. This option opens a panel on the side, allowing you to make edits. See the animated screenshot above for an example.

 

Inventory booked with timeslots or flextime

You can view timeslots or flextime inventory calendar rows by first expanding the calendar using the arrow (v) to the left of the product name.

You can then open the side panel by clicking on any cell with available or booked inventory to access more information and editing options. See the animated screenshot above for an example.

Maximum Available for the Day

At the top of each timeslot and flextime product section is a row of read-only cells.

Considering existing bookings, these cells display the maximum available inventory for the day for the product in focus.

The information displayed in the panel depends on how you have configured your inventory.

Are your products configured as simple inventory, with inventory numbers based on a fixed quantity, e.g., 25 beach umbrellas for rent?

Read the following to understand the information and actions available for simple products.

 

Features   More Info

The total reflects the maximum available inventory for the timeslot or day, e.g., 25 beach umbrellas.

This value is the number configured for the product in the Product Builder's inventory tab.

This value is the quantity of inventory that Customers have booked.

This number is displayed for reference purposes only.

The number changes as you receive new bookings or cancel them.

Total - Booked = Available

This value is the quantity of inventory available to be booked, excluding inventory that Customers have already booked.

  • 25 beach umbrellas - 1 booked = 24 available

You can adjust, reduce (-), or increase (+) the quantity available for the inventory and interval in focus.

You can add a note when you adjust inventory.

You can view historical notes under the Activity Log tab or within the Activity Log report.

Learn more about availability

If you need to adjust the overall base availability for inventory across all intervals, then this is done by editing the product:

  1. Go to Inventory > Products
  2. Choose to edit the applicable product.
  3. Go to the Inventory tab.
  4. Find the Inventory Amount field and adjust the amount.
  5. Click the Save button to save your changes.
